Scanning Documents with a Phone Camera: Settings That Keep Text Sharp

Most "unreadable document" rejections are decided in the first ten seconds, when you take the photo.

Why the photo matters more than the software

Compression tools can reduce the size of a picture, but they cannot add detail that was never captured. A sharp, evenly lit photo of a page compresses to a small, readable file. A blurred, shadowed one stays unreadable at every size.

Light

  • Use daylight from a window. Place the document on a table so that the light comes from the side or the front.
  • Check that your own shadow, and the phone's shadow, are not on the page. This is the most common mistake: the phone sits between the light and the paper.
  • Avoid glossy surfaces and laminated documents under direct light. A glare spot hides text and cannot be repaired afterwards; tilt the document a few degrees until the spot moves off the text.
  • Do not use the flash for flat documents. It creates a bright centre and dark corners.

Angle and distance

  • Hold the phone directly above the page, parallel to it. If the page looks like a trapezoid on screen, it is too angled and the text near the far edge will be smaller and softer.
  • Fill the frame with the page, leaving a thin margin. Moving closer is better than zooming, because digital zoom throws away resolution.
  • Rest your elbows on the table, or lean the phone on a stack of books, to keep it steady.

Focus and exposure

  • Tap on the text area to focus and wait for the camera to settle before pressing the shutter.
  • If your camera shows an exposure slider after you tap, raise it slightly for a white page so it does not look grey.
  • Take two or three shots and keep the sharpest. Compare at full zoom, not on the small preview.

Phone scanner apps and the built-in scanner

Many phones have a document scanning mode in the camera or files app that straightens the page automatically. That is fine, as long as you check the result: some modes apply strong "enhancement" that turns stamps and signatures into dark blobs, or convert a coloured seal to black. If the form needs the original colours, switch the enhancement off.

Settings that keep files manageable

Before you leave the table

  • Zoom to 100 percent and read the smallest line: a date, a roll number or a percentage.
  • Check all four corners of the document are inside the frame.
  • Check that the file name tells you what it is, such as 03-marksheet.jpg.
  • Keep the originals untouched in a folder. Work on copies.

Is a phone scanner app better than the camera?

A scanner app can straighten the page and crop it for you, which is useful. The camera gives you more control. Either works if the light is even and the page is flat; check the result at full size.

How do I avoid the curve of a thick book or booklet?

Flatten the page with a clean sheet of glass or the cover of another book, or photograph from slightly farther away and crop. Strong curves distort text near the spine.

Why does my document look grey?

The camera has balanced for a bright background. Tap on the white paper, raise exposure slightly, and use daylight. A correct exposure gives white paper without washing out the text.

Should I rescan a document that is only slightly crooked?

A small tilt can be straightened by a tool or the scanner app. A heavy tilt, one-sided shadow or soft focus cannot be fixed afterwards: rescan.

Can I scan at night?

It is possible with a bright, even lamp positioned to the side, but daylight is easier. Avoid a single overhead bulb behind you, which puts your shadow on the page.
